Note: USC faculty, staff, and students already have access to Gemini and NotebookLM using their @usc.edu accounts. Google Workspace AI Pro, which enables deeper Workspace integration and secure access to organizational data, is available at an additional cost.

Scope of Availability

Staff may request funding approval for Google Workspace AI Pro from their department’s administrative unit lead. Faculty may support Google Workspace AI Pro subscriptions using discretionary or research funds for themselves or their research groups, in accordance with applicable funding guidelines.

License Costs and Request Process

  • The Google Workspace AI Pro license fee is $228/user annually.
  • Between now and 9/22/26, new licenses have a prorated cost since they are made coterminous with other USC subscribers to 9/22/26.
  • All interested faculty and staff are required to submit the Google Workspace AI Pro Request Form. Viterbi IT will procure the license only after receiving documented approval from the appropriate Administrative Unit Lead or Principal Investigator (PI), along with a valid account number (PPGG) to cover the applicable licensing fee.
  • The Viterbi IT team reviews the request, places the order for licenses, and notifies ITS of which accounts need to be licensed.

  • Data Privacy: Google Workspace AI Pro must not be used to process USC Confidential Only data classified as USC Public or Internal Use may be used with Google Workspace AI Pro, in accordance with USC data classification standards.

  • It is an add-on to USC’s existing Google Workspace Education subscription.
